The information you currently have on your customers, suppliers and other contacts is likely to be contained in one of the following:
- Your accounting system
- An Excel spreadsheet
- An Access database or other database system
- Another CRM system
Reboot can advise and assist with converting your data and setting it up in Legrand. Because you know your data better than anyone however, we value your input in terms of identifying which information is important and in what fields it should be entered in Legrand CRM.
If you currently use ACT!, a data import utility already exists to extract your data from ACT! and enter it into Legrand.
Can I install Legrand CRM myself?
Yes you can install Legrand yourself , however whilst a single-user licence is fairly easy to install, depending on your computer system, number of users, level of integration required etc, you may want professional help and advice in this regard. Reboot Ltd is knowledgeable and experienced in this area and can assist with:
- Defining how the database should be set up to best meet your needs
- Advising on the most efficient way to install the software
- Checking the hardware and network capabilities of your current system and providing recommendations on what may be required
- Configuring the software to enable laptop synchronisation
- Developing or assisting with the development of customised reports
- Advice on backup procedures

Can my contacts be grouped in different ways for different purposes?
Yes, within Legrand there exists a variety of ways to sort and group your contacts, including the use of Keywords.
A keyword is a tag that is used to identify groups, provide a mechanism to create overlapping groups and simplify retrieval of those groups. Legrand CRM has a separate list of keywords for companies and contacts with each keyword being entered by the user.
A simple rule is, if a company needs to be in more than one group, then using keywords is the best solution. An example of an overlapping group is: companies that use both Product X and Product Y (and possibly many others) - both keywords can then be applied to those that use both. e.g. you can then quickly and easily filter for all companies/contacts that use Product X, or use Product Y, or use Product X but not Y, etc. From that filtered list, you can then process your mail merge, email merge, print address labels, ...
The ability to attach many keywords to a single company or contact gives the keywords system considerable flexibility. Keywords also provide a powerful method of creating custom contact lists for marketing purposes.
If I have many people using the system, how do I ensure that important information isn't lost or changed?
Legrand's user rights allow you to limit the access of users within the database, as well as keeping an audit trail of who and when the last change was made to a record.
My sales and support team are out of the office a lot. How can we possibly keep the system up to date?
With Legrand on their laptops, your sales and support team can enter the details of their client visits while they're out on the road, then synchronise with the main database when they return to the office, or remotely via a VPN.
How will a system like Legrand make it easier to communicate with my customers?
A simple right mouse click on a contact or group of contacts will bring up a menu of options for communicating with your customers. You can:
- Merge a document or fax to the selected contacts
- Send personalised emails
- Print envelopes and labels
- Export a list
- Have Legrand CRM connected to your phone system via a TAPI interface to enable automatic dialling directly from the computer

What operating system do I need in order to run Legrand CRM?
Supported operating systems for the desktop or laptop computer are Windows 2000, Windows XP or higher.
Win95, Win98, Win ME are not supported.
Legrand CRM requires Microsoft Internet Explorer (IE) V5.5 or higher to be installed.
Legrand CRM requires Microsoft Office (Word and Excel) for reporting and mail-merge.
Additional information for STD and PRO editions
The database is based on Microsoft Foxpro tables. Sharing a database is simply a matter of locating the CRM data folder as a shared folder on the file server.
The shared folder must reside on a file server (or non-dedicated server/workstation) running Windows 2000 or above, and with at least 256MB memory.
Additional information for CORP edition
The Corporate edition is a Client/Server application that uses Microsoft SQL server as its database.
The Microsoft SQL databases that are supported are SQL2000 and MSDE.
The SQL server licenses are not included with Legrand CRM.

Does Legrand CRM automatically transfer all incoming emails into the CRM database?
No - it does not make sense to automatically transfer all incoming email into the Legrand database. The CRM database is intended to be a central repository of all important business communications, not more and not less. Of all the email messages you receive every day, usually less than 20% are significant enough that they warrant being recorded into the CRM database.
By the time you've taken out all the spam, the newsletters, the internal emails, the simple Yes/No emails, you are left with 10% to 20% of the daily emails that you really would want to store in the centralised CRM database.
Hence, the approach Legrand has taken is to make it very easy to selectively transfer only those emails that are important enough for record keeping in the CRM database.
Is it easy to search for information in Legrand?
Most definitely yes! There are a number of search functions within Legrand, including QuickSearch.
As its name suggests, QuickSearch enables fast retrieval of information and requires only a simple right mouse click on almost any field in Legrand CRM.
